Privacy policy
Last updated: 10 October 2026
This page has two parts. The first is our privacy notice for job applicants: it explains how we handle your personal data when you apply for a role with us, or when we approach you about one. If you are visiting our website or contacting us for any other reason, see Website visitors and general enquiries at the bottom of the page.
Privacy notice for job applicants
Who we are
Resonance is the trading name of Gutenberg Technology Holdings Limited, a company registered in England and Wales (company number 17453519) with its registered office at 9th Floor, 107 Cheapside, London EC2V 6DN, United Kingdom. It is responsible for every application we receive.
We are the controller of your personal data. If you have questions or want to use your rights, email contact@gutenberg-holding.com or write to us at the address above.
We are registered with the UK Information Commissioner's Office under application number C2055906.
What we collect
We collect what you give us and what we learn while assessing you. That includes:
- Contact details: name, email, phone number, location, LinkedIn or other profile links
- Your application: CV, answers to application questions, work history, education, skills
- Interview information: interviewer notes and ratings, live build and technical exercise outputs, and recordings of video interviews where we tell you in advance and you agree
- Practical details: right to work or sponsorship needs, notice period, salary expectations, availability
- Checks, at offer stage only: references, proof of right to work, and background or qualification checks where the role requires them
We also receive data about you from recruiters and search firms acting for us, from people who refer you, and from public professional profiles such as LinkedIn.
We do not ask for information about health, ethnicity, religion, sexual orientation or other special categories. If you choose to tell us something, for example to ask for an adjustment to an interview, we use it only for that purpose.
Why we use it
| What we do | Legal basis |
|---|---|
| Review your application, run interviews and decide whether to make an offer | Steps you ask us to take before entering a contract, and our legitimate interest in hiring the right people |
| Communicate with you about your application | Steps before a contract |
| Check your right to work and take up references | Legal obligation (right to work) and legitimate interest (references) |
| Keep your details to contact you about future roles | Your consent, which you can withdraw at any time |
| Make adjustments you request | Your explicit consent, and our obligations under employment and equality law |
| Defend or bring legal claims about the recruitment process | Legitimate interest |
We use AI tools to help us summarise applications and interview notes. People at Resonance make every hiring decision; no decision about you is made by automated means alone.
Who we share it with
We share your data only with people who need it to run our hiring, and we do not sell it.
- Our hiring team: founders and the interviewers on your process
- Service providers who process data for us, under written contracts:
- Ashby, our applicant tracking system (application, interview and scheduling records)
- Our email, calendar and document storage providers
- AI tools we use to summarise applications and interview notes
- Recruiters and search firms working with us on your application
- Referees you name, and background check providers at offer stage
- Our professional advisers and authorities, where the law requires it
We currently hire only for roles based in the UK. If we open roles elsewhere, we will update this notice first.
Transfers outside the UK
Ashby, our applicant tracking system, is based in the United States. It is certified under the UK Extension to the EU-U.S. Data Privacy Framework (the UK-US data bridge), which the UK recognises as giving your data adequate protection, so that is the safeguard we rely on for data held in Ashby. Where another provider processes your data outside the UK without an adequacy decision, we use the UK International Data Transfer Addendum to the EU standard contractual clauses. Ask us at contact@gutenberg-holding.com for details of the safeguards that apply.
How long we keep it
- If you are not hired: we delete or anonymise your data 180 days after we close your application, unless you agree that we can keep it longer for future roles.
- If you accept an offer: your application becomes part of your employee record, covered by our employee privacy notice.
- Interview recordings: recordings, transcripts and AI-generated notes are deleted one year after the interview, or sooner if we delete or anonymise your application data under the rules above.
- If we approached you before you applied: we delete or anonymise your data 90 days after we first add you, unless you apply or agree that we can keep it.
We may keep data longer only where we need it for a legal claim.
Your rights
You can ask us to:
- give you a copy of the personal data we hold about you
- correct anything inaccurate
- delete your data, or stop using it for a particular purpose
- restrict how we use it while a concern is resolved
- send your data to you or another organisation in a portable format
- stop processing based on our legitimate interests, unless we have strong grounds to continue
Where we rely on your consent, you can withdraw it at any time. Email contact@gutenberg-holding.com; we reply within one month.
If you are unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office (ico.org.uk). We would welcome the chance to sort it out with you first.
Changes to this notice
We update this notice when our hiring tools or practices change, and show the date of the latest version at the top.
